In September 2023, the California-based healthcare agency LA Care Health Plan paid $130,000 in penalties and had to present a corrective action plan to HIPAA. The penalty stemmed from a processing error that enabled customers to access the data of other members. Exposed information included names, addresses, and member identification numbers. Regulatory bodies for most industries exist at an international, federal, and even company level. While it can be a nuisance to follow, the compliance regulations exist to ensure the physical and digital safety of personnel, customers, and data. It’s essential that compliance competency is understood and followed by current and incoming employees alike. This isn’t lost on HR, and most have turned to learning management systems (LMS) to drive employee growth and learning.

Why competency in compliance matters

Many regulatory bodies have regulations outlining the consequences of failure to comply. Fines can be hefty. In addition to the monetary consequences, news of non-compliance can also tarnish your reputation if news spreads.

Compliance also extends to include the physical safety of staff and customers. In 2018, OSHA fined the New York construction company Northridge Construction $224,620 after a fatal fall accident of one of its employees. Upon an investigation, OSHA determined Northridge Construction failed to follow a number of safety protocols, such as not enforcing the use of protective helmets in a construction zone.

How does a learning management system factor into this?

Compliance is the responsibility of every member of the workforce; not just the higher-ups. As shown in the case studies, a single case of non-compliance by a staff member or supervisor can have devastating consequences. The key is educating entire departments and rosters in a cost-effective manner while eliciting participation and engagement. LMS satisfies these parameters.

Here is how LMS fosters learning in the modern work environment.

Education via LMS improves memory retention

A tremendous advantage associated with LMS is its diverse media. Incorporate a combination of media to elicit the five senses. While the science still isn’t fully understood, it’s believed that the more senses you elicit, the more parts of your brain you stimulate. This is the theory established by a number of neuroscientists, including psychologist Dr. Richard E. Mayer, who published the comprehensive Cognitive Theory of Multimedia Learning.

With LMS, create compliance courses that incorporate multiple senses. Video tutorials, for example, incorporate both auditory and visual learning. Webinars with live demonstrations from the learners are a form of kinaesthetic learning. Furthermore, courses that also incorporate in-person learning create further opportunities for tactile and olfactory learning.

LMS increases learning cooperation

LMS affords employees flexible timetables in an anytime-anywhere learning format. All that’s required is a mobile device and Internet access. However, employees are still required to complete courses within designated due dates. Some employees may miss the deadline. This could be due to time constraints, forgetting, or simply not thinking it’s important. E-learning makes it easy for employees to complete the necessary coursework and demonstrate comprehension. HR that implements LMS uses these strategies for improved learning cooperation:

 • Create micro-courses that can be completed in 5-10 minute increments
 • Set reminders/alerts when a new module is available and again 24 hours before a module is due
 • Create short quizzes and gamify them by awarding digital trophies based on scores.

Improve learning experience by assessing audit trails

Modern LMS measures metrics using relevant key performance indicators to measure student progress. The audit trail provides clues on performance, engagement, and overall enthusiasm. Make adjustments mid-course based on the data. The audit trail, for example, may indicate a high percentage of students switch on the optional text-to-audio when reading text portions of the course. This points to a preference for auditory learning. How can you use this data? Perhaps you can create an audio narration recapping the main compliance points before the conclusion of each module, or an audio option narrating the figures in an infographic.

Explain the consequences of non-compliance

Earlier, we discussed real-life case studies and the financial and reputational consequences of non-compliance. Outline one or two case studies from your industry as part of the course introduction. Explain how much the company was fined and other ramifications that ensued, such as PR damage control, lay-offs, etc. Most employees aren’t aware of how serious it is and the potential penalties. Furthermore, outline how this can impact employees directly (e.g. termination, reduced hours, etc.). Understanding how they can be adversely impacted can be a surprising motivator for employees to take their learning seriously.

Incorporate Dokeos LMS into your employee compliance training

From retail to life sciences, compliance exists in all industries. Most employees just want to do what they were hired for and don’t want to be bothered with formal and often confusing regulations. However, it comes with the job. Dokeos LMS, incorporates education in a format that makes e-learning somewhat more palatable. With Dokeos LMS, create a comprehensive course that empowers your staff with knowledge that’s applicable in real-world settings. Whether you are a multinational corporation or a small company, we support you in the creation of appropriate online training and assessment solutions.

Last September, the U.S. Department of Health and Human Services invested $8 million to improve access to healthcare by training new doctors to care for people with disabilities and poor English skills. The medical industry is continuously subject to change to ensure the digital integrity of patient data. It also ensures the best physical safety practices of patients and personnel. This is why continuing education is critical to keep staff up to date with the latest regulatory practices. With staff dedicating their time, body, and energy, they’re not exactly going to be gung-ho about sitting in a classroom reviewing formal compliance measures. Fortunately, HR can make the process more manageable by delivering the course in an e-learning format via LMS.

Why adequate medical training matters

Medical procedures change, often on short notice in response to current health events. HIPAA, for example, made amendments to its regulations in response to the COVID-19 pandemic. It established updated privacy rules in emergencies involving outbreaks of infectious diseases. Medical HR had to scramble to train first responders to get them up to date in a short window frame.

Failure to adhere to the updates can have dire ramifications. A famous case study involved the New York-based health provider Excellus Health Plan. A data breach resulted in over nine million patient records being exposed. A HIPAA investigation revealed a number of violations, including insufficient risk analysis and failure to enforce risk-reduction measures. The penalty? A settlement totaling $5,100,000 in fines.

The breach was due to a combination of misinformation, negligence, complacency, and most of all – lack of education. LMS isn’t a fail proof measure, but it provides an educational hub in a flexible, convenient, and engaging format. Even more importantly, courses can be delivered on short notice (and at a low cost) in response to local, national, or world health events.

How LMS contributes to continuing medical staff education

LMS has proven to be a driving force in medical staff education. Here are ways LMS is contributing to a more informed and ready workforce.

Non-disruptive training

Working hours vary depending on the specific position. 12-hour shifts and longer, though, aren’t uncommon, especially for positions like registered nurses and hospice caregivers. It’s understandable employees aren’t going to be singing praises over mandated medical training. However, the training can be implemented in a way that ensures minimal disruption to their work performance, psyche, and morale. The advantages of Elearning via LMS are multifold:

 • Flexible – take the course anytime, anywhere and requires only a device with Internet access
 • Save your progress anytime and pick up right where you left off
 • Courses can be released in short increments (one lesson at a time) to ensure no one gets ahead or behind

On-the-fly updates to changing regulations

Regulations are hardly ever static. Changes can occur often regarding patient treatment, record handling, patents, drug formulations, etc. Updates can be found on official regulatory and government sites. However, it’s far more effective for institutions to compile their own course rather than merely point employees to the official links. The former provides far more engaging ways of learning rather than reading formal and jargon-filled texts. Updates can be incorporated into existing courses, simply by updating existing lessons or adding new modules. Media like videos, webinars, infographics, quizzes, and gamification can all be incorporated into lessons to deepen sensory learning.

Uniform training for local and remote staff

Traditional classrooms are becoming increasingly less feasible due to a scattered work environment. Some employees are in-house, others work remotely. In fact, according to a 2022 McKinsey report, 31% of healthcare support personnel work remotely full-time, meaning they are seldom, if ever, present in a clinic. Some support positions are also managed across state or even internationally. With e-learning solutions, every member gets the same training irrespective of time zones. This is especially useful for training regarding international or federal compliance measures.

Comprehensive sales and product training

The medical industry isn’t limited to treating patients. There are also varying departments dedicated to B2C and B2B sales, from pharmaceutical sales to sales of medical equipment to clinics. LMS can educate and train internal teams on the latest sales and pitching strategies. Comprehensive courses can be divided into modules and broken into varying categories, such as, but not limited to:

 • Social media marketing
 • Subscription and email-based marketing
 • A/B testing
 • Affiliate and influencer recruitment
 • Best SEO practices
 • Google Ads best practices
 • Copywriting and press release writing
 • Offline marketing (e.g. word of mouth, trade shows)

The online corporate compliance training market is estimated to reach US$14.1 billion by 2029, according to Globenewswire. Regulatory compliance exists in most industries in one form or another. While regulations can be a headache to follow, they exist to ensure data integrity, staff wellness, and customer satisfaction. Unfortunately, it isn’t always efficient from a time and cost perspective to produce and run a compliance course via a traditional classroom. Digital learning, by contrast, provides a fresh approach that makes learning simpler for learners and administrators alike.

Why traditional classroom formats are less efficient

More companies nowadays are comprised of a remote workforce, with staff spanning across states, countries, and even continents. It’s not realistic to train a remote team in a brick-and-mortar classroom. Furthermore, if you lack office space or have a large team, classes may need to be held outside company premises in a rented venue. This can significantly add to the cost.

While it varies depending on industry and company size, a report from The Association for Talent Development estimated that it costs an average of $1,252 to train a single employee. It has been estimated that up to 85% of training costs are associated with traditional classrooms, such as venue rental, travel, lodging, and equipment. The switch to digital learning, however, can significantly slash spending. The software company Oracle, for instance, reported a savings of $10 million when it transitioned from in-person training events to virtual video webinars.

How digital learning simplifies compliance training

Today’s digital learning technologies make compliance training easier for learners and HR. Here’s a look at how it assists both course takers and course creators.

Digital Learning for HR

For HR compiling the compliance course, digital learning provides a money- and time-saving solution. Here are how course administrators and moderators are taking advantage of the latest e-learning technology.

1. Easy course creation

Digital learning uses an intuitive interface and existing templates that simplify content creation. Divide lessons by short modules. If there are updates, just add an existing module or tweak an existing one and refer students to the changes or add-ons. Changes to regulations typically only pertain to one section or two and not an entire overhaul, so manual course updates only require minor modifications.

2. Reuse the course

Once you create the course, you can reuse it as often as necessary for onboarding employees. You can also refer incoming staff to previous recorded lectures and webinars, as opposed to a live instructor teaching the same regulations to every incoming team. You also save on paper and printing costs.

3. Track Progress

Choose and filter the desired metrics and get an automated summary of individual and collective performance in real time. No need for manual grading of paper exams or assignments. With modern AI and business intelligence, Dokeos digital learning tools are also capable of generating written performance evaluations.

4. Make certificates

Make your own company-approved certificates complete with brand emblem/logo using existing templates. Certification is proof of completion that can be useful during audits, employee transfers, sponsor requests, etc.

Digital learning for employees

Those taking the compliance e-course will benefit from more digestible and engaging learning formats. Here’s how.

1. Short courses

Compliance isn’t exactly the most thrilling subject. The longer the course the more uninspiring and unmotivated the learners become. However, the process becomes more manageable if courses can be completed in phases. Learners benefit more from taking independent and standalone modules that can be completed during breaks, downtime, or idle periods in the office.

2. Active learning

Students can take a more hands-on learning approach even in a remote environment. Active learning naturally incorporates sensory learning via diverse media. Here are ways students can enrich their learning through active elements:

 • Students can ask questions and learn from their peers through a message board and threads
 • Discussion sessions where learners voice their opinion (e.g. “This compliance measure doesn’t make sense”, “I think this regulation update is long overdue”)
 • Role-play sequences where students demonstrate compliance understanding in on-the-job scenarios
 • Webinars where students assume the role of instructor
 • Quizzes and exams with open-ended answers

3. Archive access

Even once the course is over, keep the course available in an archive section that employees can return to at any time for a refresher. Instead of asking HR questions about what is already covered, they can just refer to the course. Even if there are no active courses in progress, employees always have a compliance encyclopedia of sorts at their fingertips.

4. Un-formalize it

Just because official compliance material is very formal in nature doesn’t mean your course has to be. Learning takes on a more relaxing atmosphere when you make the course more casual. Replace the formal compliance text with the wording you would use when texting a friend. Further use of media like memes, emojis, and gifs makes the experience feel less uptight when reading dry compliance material.

Compliance training simplified with Dokeos digital learning solutions

Digital learning doesn’t make compliance training effortless, but it does make it relatively more manageable, engaging, less time-consuming, and more flexible. Launched in October 2022, the Meta Quest Pro is a high-end virtual reality headset designed for professionals. In particular, it could be used to reproduce high-risk situations: personnel safety, surgical procedures, the fight against sexual harassment. Some of your company’s staff may be tomorrow’s leaders. Fostering their skills requires a combination of education and on-the-job experience. With the former, there’s more to it than just reading a textbook and completing a short quiz. Leadership development in the corporate sphere requires knowledge learned in a deep sensory and immersive environment. With Dokeos LMS, develop your employees’ skills through rich and dynamic immersive learning modalities.

Immersive learning defined

Immersive learning refers to learning that simulates real-world workplace scenarios, albeit in a virtual environment. The idea is to put learners in hypothetical scenarios that they’re expected to encounter on the job. Webinars, demonstrations, and role-play are common immersive learning tools.

How is immersive learning good for competency development?

Immersive learning promotes learning retention because it mimics what workers may experience in their day-to-day jobs. This elicits the senses, making immersive education an effective form of sensory learning. One study reported in Forbes found that immersive learning improved memory retention by 75%. In another study from Stanford University and Denmark’s Technical University, students receiving training via virtual reality simulations improved cognitive learning by 76% over traditional learning models.

How LMS promotes immersive learning

What is the role of learning management systems in immersive learning? E-learning platforms like Dokeos provide virtual tools and features for immersive experiences for HR, sales teams, product development, etc. Here’s a look at how modern LMSs shape competency development in the corporate sector across industries.

Learn through trial and error without consequence

A key advantage of immersive learning is the ability to make mistakes and learn from them, minus the ramifications. For example, role-play sessions in a virtual environment can train corporate employees on conduct and etiquette when interacting with stakeholders. It’s better that they make mistakes with instructors role-playing as VIP members. This is far more preferable than learning on the job where the same mistake can cost sponsorships and investor loyalty, or lead to reputational harm.

Cost-effective training

Virtual training environments are historically more cost-effective compared to traditional in-house training. According to Computers Informatics Nursing Journal, hospital evacuation training via virtual simulation over a three-year period incurred a cost of $115.43 per trainee, versus $229.79 per trainee in a physical environment using life-sized mannequins as props.

Realistic learning in a remote environment

With E-learning, training in an immersive environment is always available, even when in-house training may not be feasible. This was most apparent during the COVID-19 pandemic with shelter-in-place measures enforced nation- and global-wide. Employees can remain sharp and work-ready through simulated courses with real-time instructor feedback.

Training in response to company/industry trends

Immersive learning can be arranged on short notice to tackle real-time issues, such as sales decline, loyalty drop-off, or increased bounce rates. Impromptu training can be organized remotely without the time and expense of traveling, organizing a brick-and-mortar classroom, printing worksheets, etc.

LMS best practices for immersive learning planning

LMSs can be a major game-changer in continued employee education and competency development. Consider these best practices for optimal results.

Link to business objectives

First, define your goals and KPIs. For instance, if the goal is to increase customer service ratings, use that as the blueprint for establishing training modules. Immersive learning can include scenarios involving direct HR/customer interaction through mock scenarios where varying situations are presented (e.g. customers threatening to cancel or demanding to talk to the manager).

Incorporate non-immersive approaches

Learning by doing is highly critical, but so are more traditional textbook approaches. Combine immersive learning with reading, lectures, homework, and post-reading quizzes. Rote learning has its place when paired with hands-on and sensory approaches.

Peer feedback

Virtual hands-on learning can be individually or group-based. Regardless, learners not actively participating can view other learner sessions in real-time. By evaluating their peers’ performance, they can gain valuable insight and learn novel ways of approach they may haven’t thought of otherwise Peers can also provide qualitative feedback along with suggestions or comments on how they may have approached the same mockup scenario.

Follow-up and individual action plans

Create performance-based follow-up segments. For example, if a learner had difficulty interacting with mock uncooperative customers, then follow-ups can incorporate additional scenes involving difficult and uncompromising clients. This effectively gauges how well learners respond under pressure and adapt to the less-appealing aspects of the job description.

Record Sessions with play-by-play feedback

Some learners may be squeamish about watching a recording of their own performance. However, much can be learned from watching oneself from a third perspective. The instructor can provide pauses with commentary as part of the feedback and evaluation.

Integrate immersive learning into your competency development with Dokeos LMS

There’s immense value in learning by doing, and even more so in doing it in a safe environment where one can learn from mistakes and receive immediate feedback. Our LMS makes it simple to create diverse ways of immersive experiences using virtual/augmented reality, 360-degree film, and video-generated content. Give your employees the hands-on training to propel their education and make them your industry’s future leaders. Begin with a Dokeos free trial!

The U.S. has taken great strides in recent years to establish digital sovereignty. Globally-adopted regulations include the EU’s General Data Protection Regulation (GDPR). Additional protocols may be enforced at the federal and state levels, as well as industry levels. Examples include the Gramm-Leach-Bliley ACT (GLBA) and the Family Educational Rights and Privacy Act (FERPA) for the financial and educational sectors, respectively.

While cumbersome to keep up with the varying regulations and the constant updates, they’re integral for maintaining client, employee, and patent data. This is why it’s critical to adopt a LMS platform with built-in AI and the latest encryption. Find out how Dokeos LMS is leading the way in GXP and non GXP training programs.

Why digital sovereignty matters

33% of the over 8,000 data centers worldwide reside in the U.S., according to a report from the United States International Trade Commission. Some of the major U.S. data producers and storage holders include Google, Facebook, and Amazon. It’s no surprise then that many non-U.S. companies house their data in the U.S. For instance, it’s estimated that 92% of European data is housed in non-EU databases, with much of it in American data warehouses. While not as prevalent, the U.S. has its fair share of companies that store data in foreign territory.

How does this relate to data sovereignty and why does it matter? Here’s a hypothetical scenario: You open an account at an American bank. The bank houses customer data in a data warehouse overseas where the regulatory environment is more lax. Since the data is stored abroad, it’s subject to that country’s data sovereignty laws. If said nation lacks sovereignty oversight, the government, law enforcement, or other entities can access your data, freeze, or even seize your funds.

Case study: Facebook and Cambridge Analytica

Without protection laws, the country could also just as easily sell your data to other third-party countries without your consent or knowledge. One infamous case occurred in 2018 with the British consulting firm Cambridge Analytica. The organization was collecting data from consenting survey takers on Facebook. However, Cambridge Analytica was also extracting data from the survey takers’ friends and using the data for political ads. This was in direct violation of GDPR laws.

The fallout and ramifications? Facebook’s parent company Meta settled the case for $725 million, while Cambridge Analytica filed for bankruptcy in the wake of the scandal.

The role of the sovereign cloud in data sovereignty

Sovereign cloud encompasses several definitions. In any case, it’s cloud storage designed to follow relevant data sovereign laws. This may be American companies storing data in U.S.-based data repositories, or storing it in overseas data centers with established sovereign laws and ensuring the laws are enforced.

Many modern SaaS solutions provide a sovereign cloud environment for safe record-keeping under GDPR, federal, state, and industry-specific laws. What makes Dokeos’ solution effective is its two-fold strategy; it provides an LMS platform for GXP and non GXP training programs while keeping staff training data within a secure environment under GDPR and US-level provisions.

Dokeos as a leading innovator in customer/employee data protection

Dokeos’ LMS is designed for innovation by using the latest AI and intuitive interfaces, so IT and non-IT course makers alike get the best results. What distinguishes Dokeos from the competition is its business intelligence and machine learning solutions in an instantly available turnkey package. Consider these advantages.

The post Accelerating Pharma Workforce Skills Through Dokeos LMS appeared first on DOKEOS - LMS & E-learning Suite for growing companies.

]]>
The pharmaceutical sector is an ever-evolving industry, utilizing the latest in AI and machine learning to produce breakthroughs in medical science. While technology has been largely a force for good, it does require workers to keep up to date with the constant evolution in technology and regulations. The optimal solution is a remote learning environment that minimally disrupts daily work operations. Learn how Dokeos learning management system (LMS) can assist in the growth of pharma workforce skills and be a driver for innovation.

Why pharma workforce skills matter

According to a 2020 McKinsey report, technological disruption is the biggest inhibitor of employee growth and productivity in the pharma industry. Additional related factors like the transition to a direct-to-customer sales model have also caused disruptions. Simply put, technology and a change in environment are occurring at a greater pace than employers and workers can keep up. It’s estimated that an estimated 900,000 pharmaceutical jobs could disappear in the next 10 years due to automation. However, an estimated 90,000 to 120,000 new jobs will also be created in the process.

What’s the solution? The McKinsey report cited employee reskilling as the pathway for addressing the increasingly widening talent gap, particularly as it relates to technology, machine learning, and automation tools. Existing and incoming employees need continuing education to keep up with the changes in real time.

How can Dokeos LMS be a driving force for transformative learning?

It’s not feasible for pharmaceutical employees to return to a traditional classroom format. This is too time-consuming; it’s also costly for companies and the time away from the work floor can be a major disruptor. More pharmaceutical companies have adopted a remote or hybrid learning environment using Dokeos LMS solutions. Consider these ways that Elearning and Dokeos LMS are reshaping the development of pharma workforce skills.

1. Stay up to date with regulatory requirements

As technology changes, so does official regulations. Globally recognized institutions like the World Health Organization (WHO) and the International Society for Pharmaceutical Engineering (ISPE) establish global industry standards. This is in addition to national regulatory bodies, such as the Food and Drug Administration (FDA) in the U.S. and the Medicines and Healthcare Products Regulatory Agency in the UK.

E-learning provides a one-stop repository where employees can view the latest pharma regulations without having to navigate the official regulatory sites individually. Furthermore, the regulations can be reworded to deviate from the formal and dry language and use simpler wording. Combine this with diverse media, such as videos and infographics for a more engaging learning and understanding.

2. Address a global workforce with Dokeos LMS

More workers in the life science industry are becoming digital natives. 70% of healthcare providers, for example, work almost fully online, according to a 2020 PharmaTimes report. With the remote acquisition, more companies are hiring talent outside their local region, and even hiring globally. No matter where your employees are located, Dokeos LMS can cater to their learning needs. Courses can be translated into different languages without requiring a native speaker to manually rewrite the course. Courses can be accessed 24/7, and webinars can be recorded and viewed at the students’ convenience to accommodate time zone differences.

3. Customize training by region and demographic

Certain facets of the course can also be modified to suit varying demographic needs. This is especially beneficial for pharma companies serving global clientele. For example, approximately half of the world’s senior population resides in the Asia-Pacific zone. Course material for remote employees, affiliates, and joint partners in the region can focus more heavily on lessons related to geriatric and palliative medicine/care.

4. Address security challenges

The pharma sector ranked fifth in industries most susceptible to a cyber-attack, according to Seqrite’s annual 2020 report. The unfortunate reality is that confidential patient data, research data, and intellectual property are prized commodities sold in the black digital market.

Modern LMS platforms like Dokeos LMS reside in cloud networks with the most consistent security updates and patches. The latest encryption and anti-malware scanners are in place to ensure there are no exploitable attack vectors in the network.

5. Accelerated training in times of emergency

COVID-19 was a rude awakening that virus outbreaks can occur rather quickly and with little warning. This proved overwhelming for the medical industry as it raced against time to develop a vaccine, study the changing virus strains, and address overcrowded ER rooms.

With Dokeos LMS, cut down on time-wasting elements like traveling, assembling a classroom, etc. Once the course is live, employees can get started immediately, regardless of location or time difference. Changes can also be rapidly made to learning materials as new research developments come in.

Navigating the intricate waters of industry regulations demands more than just knowledge; it requires mastery. Whether in the B2B or B2C sector, most industries have their respective regulatory bodies. Compliance competence and proficiency are a must to ensure procedural integrity, avoid fines, and prevent reputational damage. However, regulatory training isn’t always easy to implement. Learn about the challenges and how Dokeos learning management system (LMS) can address the common hurdles.

Keeping track of Updates

Amendments to regulatory guidance can occur quite often. Keeping track of these changes can be tricky. Questions may come up:

 • What changes were made?
 • Which regulatory body made the changes?
 • In which regulatory section were changes made?
 • When and where are these changes applicable?

HR will need to determine the answers to the above. However, once they collect the answers, they can organize the information into a more easily digestible format. Changes can be clearly explained using simpler terms and wording. Adopting a what, who, where, when, and why answer format is another effective way to disseminate updates.

Learning the exceptions to the rules

What makes compliance training especially tricky is that procedures are hardly straightforward. Often, there are exceptions, and there are rules on how to handle those exceptions. What’s more, scenarios in which these exceptions come up are rare, so employees seldom have the chance to put these rules into real-world practice.

One example is the U.S. Department of Health and Human Services (HHS). HHS implemented an information-blocking rule through the 21st Century Cures Act. This states that healthcare providers may not block the sharing and exchange of digital health records. However, the rule also lists a category of eight exceptions in which information blocking is permitted.

E-learning can make learning these exceptions more manageable by dividing modules into sub-modules or branching nodes. Sub-modules can contain image-rich feedback to help with learning and memorization. In the information-blocking example, privacy is one of the exceptions. What types of graphics, symbols, and media can be used to convey privacy?

Lack of training and too much rote learning

A typical course may consist of some reading material followed by a quiz. This may be once or twice a year or whenever there’s an update. This is inadequate and leaves employees unprepared to apply the procedures in real work setting scenarios. Training should never be a one-off. It requires repetition and utilizing diverse learning modalities. The more senses (visual, auditory, kinesthetic, etc.) it incorporates the better.

Consider these ways you can incorporate more hands-on education in an e-learning format.

 • Live webinars that encourage active student participation
 • Videos demonstrating procedures in action
 • Interactive videos with annotations
 • Quizzes with open-ended answers
 • Live role-play or mock drill sequences among staff and even students to demonstrate understanding

Lack of motivation

There’s a perceived notion that compliance is the responsibility of the higher-ups and doesn’t apply to employees. It also doesn’t help that compliance training isn’t exactly the most exciting subject matter. Employees will complete the course simply out of obligation, with no drive to internalize what they learned. HR will need to answer the question: How do you motivate the students to encourage maximum participation? Here are effective means of instilling ambition.

1) Explain how compliance affects them. For example, if the company fails an audit, this could have a domino effect. This could start with a hefty fine. To recoup for the lost money, the employer may lay off employees or reduce hours. Use real-life examples, preferably from high-profile incidents in the same industry.

2) Gamify the course. Add competitive elements, such as digital trophies and leader scoreboards. A visual representation of their performance in relation to other students encourages active participation.

Courses are too long

Official regulatory materials can be quite lengthy and consist of dozens of PDFs, each with pages in the three-digit range. It’s only natural that HR puts together a compliance course that’s lengthier than originally intended. This becomes an inhibitor because drawn-out courses lead to a loss of interest and memory retention.

Fortunately, modern learning management systems make it easy to create courses broken down into bite-sized chunks. Each module should consist of one lesson and answer a single question. They should also be designed to be completed during pockets of spare time and take 10 minutes max. Modules can be spread out; perhaps a new one is released every other day. Studies show that spaced learning is more effective than cramming. Students may be tempted to do the latter to get it over with if the course is released in its entirety at once.

How Adaptive Learning for Corporate Training Can Improve Employee Potential https://www.dokeos.com/how-adaptive-learning-for-corporate-training-can-improve-employee-potential/ Fri, 20 Oct 2023 14:29:08 +0000 https://www.dokeos.com/?p=51596 Established in 2004, the mantra of Dokeos LMS has always been the personalization of each training course. Because adaptive learning is the best way to reinforce skills.

The post How Adaptive Learning for Corporate Training Can Improve Employee Potential appeared first on DOKEOS - LMS & E-learning Suite for growing companies.

The corporate sector is continuously evolving, and growth has accelerated due to emerging AI. Corporate training has to factor in the proliferation of machine learning and modern automation tools. Find out how platforms like Dokeos learning management system (LMS) are becoming an increasingly invaluable tool for adaptive learning and integrating into the foray of emerging technologies.

Because the most appropriate and effective way to learn is to take into account the individuality of learning paths. This is Adaptive learning. How do we define it precisely? We asked Thomas De Praetere, CEO of Dokeos. “It’s all about learning, the opportunity to have a kind of private tutor who teaches you according to who you are and what you’re capable of. It’s the one-to-one tutoring model – think of a private piano teacher.”

AI growth in the corporate sector

AI is now the norm and no longer the exception. According to the Computing Technology Industry Association, 35% of U.S. companies now use AI in their business operations in some form or another. A further 42% of companies have plans to implement AI in the future. Studies have also shown that AI implementation has financial payoffs. By 2026, companies that invest in AI will outperform non-AI-implemented companies by 25%, according to a 2022 Gartner report.

Statistics paint a similar trajectory for AI as it specifically relates to training. The AI training market was valued at $1.73 billion in 2022 and is expected to grow by 22.1% from 2023 to 2030, according to a Grand View Research Report.

The role of AI in adaptive learning

Machine learning can deploy algorithms that analyze keywords, student profiles, and first-party data to automatically curate content and courses relevant to company-specific needs. Once the AI curates content, HR can step in and make manual tweaks as needed to smooth out the edges. Furthermore, AI can disseminate content based on individual learning styles. This may include videos for visual learners, for example. This is adaptive learning and is becoming a mainstay e-learning component.

Modern AI keeps track of learner progress and can make recommendations based on results. For instance, if the text portion of a course has an optional audio narration, AI can track how often this was used. A high percentage of use can indicate a preference for auditory learning. Likewise, AI can record courses taken via mobile devices and gauge preference levels for a learn-on-the-go style.

How to apply adaptive learning through Dokeos LMS

It’s evident that AI is here to stay in the corporate sector, and this growth spans across industries. The key is incorporating adaptive learning into the corporate training culture. By adaptive learning, this means training that caters to each learner’s preference and making changes to suit students individually.

Here’s how you can make maximum use of AI in digital learning by employing Dokeos LMS.

Corporate training : understand AI’s limitations

AI capabilities will gradually expand, but it will always have some limitations. For example, AI analytics may indicate modules are mainly completed hours before the deadline. This may indicate it’s not a priority or is merely an afterthought for employees. However, AI may be limited in determining why this is the case. This is where human input comes in. Human HR members will need to follow up through an open dialogue or open-ended survey questions to get to the root of the question.

Normalize training

Training should be a part of the work culture rather than be an annual or biannual affair. Of course, too much training can also demoralize employees. After all, they were hired to do a job and not return to school. Here are ways to maximize adaptive training with Dokeos LMS that simultaneously caters to different learning modalities while retaining interest:

 • Divide courses into short modules. Each module should be short, preferably no more than a 10-minute estimated timeframe for completion.
 • Use diverse media, including images, infographics, videos, and live webinars
 • Gamify the course through digital prizes and competitive elements, such as badges, scoreboards, and interactive storyboards.
 • Release courses in increments rather than all at once

Corporate training: include a hands-on training component

Just as you can’t learn to swim without getting into the pool, you can’t fully learn corporate practices without hands-on experience. By hands-on, this doesn’t mean you have to be physically present in a brick-and-mortar classroom. With Dokeos LMS, take advantage of live webinars to conduct demonstrations and mock drills. Virtual classrooms enable students to role-play, with moderators presenting follow-up scenarios and other students watching and even participating as mock customers and clients.

Make customization the standard

There should be an assortment of customization options to cater to different learning preferences and to increase flexibility. Think about the variants you can add that incorporate the different senses. Here are some examples:

 • Audio narration (caters to auditory learners as well as the hearing-impaired). This can be via human speaker or AI-generated.
 • Video narration (caters to both auditory and visual learners)
 • Lessons requiring learners to record and upload self-demonstrations (valuable for kinesthetic learners)
 • Course formats for both mobile and PC-friendly access

Provide a dashboard section where students can access or disable certain formats. This can also include additional elements like font and text size. Students may also appreciate non-essential customization options, such as changing the text or background color. Lots of personalization gives students ways to invest in their course account and make it feel like it’s their own.

Invest in corporate training the smart way with Dokeos LMS

Our pedagogical AI is completely realistic and not a computer scientist’s pipe dream. Thanks to our positioning tests, you can implement Adaptive Learning on a scale never seen before, thanks to pedagogical AI! This is no longer the time for quantity, for standardized training courses for your 1,000 learners. Now it’s time to individualize your training paths to achieve a better learner experience, with the aim of increasing skills.

Are you an instructional designer or training manager looking for an LMS platform that implements Adaptive Learning in an ergonomic way? Digital Learning leader since 2004, Dokeos is a creator of e-learning solutions.

The corporate workforce is made up of a collective of individual minds. Each mind brings forth diverse thoughts, methods, and strategies. GXP guidelines may seem extraordinarily difficult to follow, given the length, complex language framing, and constant updates. However, staying in compliance is critical for the welfare of everyone involved, from the assembly line employees to the end consumers. Here are the major highlights regarding GXP in the pharmaceutical manufacturing sector. Find out how compliance benefits your operations and more indirectly, your company’s bottom line. And explore our GXP training courses on our website, such as Good Distribution Practice (GDP) and Introduction to Good Laboratory Practice (GLP).

Avoid costly fines

GXP guidelines aren’t merely recommendations; they’re mandatory, and audits do occur. U.S. companies from small businesses to Fortune 500s are subject to their rules. According to a report from the Pharmaceutical Processing World, 26 pharmaceutical companies were subject to fines totaling $33 billion between 2003 and 2016. Offenders included nationally-recognized brands like Pfizer and Johnson & Johnson, which paid $3 billion and $2.7 billion in non-compliance penalty fees, respectively.

That’s not all; between 2015 and 2022, the FDA doubled the number of warning letters sent to companies for non-compliance, according to a report from Technology Networks Informatics. 15% of the violations stemmed from bad data quality in the drug manufacturing process. Fines can be as high as $1 million per incident.

Whether intentional or due to clerical errors, faithfully following GXP guidelines can drastically lower the chances of a failed audit.

Promote patient welfare

The pharmaceutical manufacturing industry produces a range of products, from over-the-counter medications to medical equipment. As the point of origin of these products, it’s your legal responsibility to ensure they are safe for the end user. Good Manufacturing Practices (GMP), Good Clinical Practices (GCP), and Good Laboratory Practices (GLP) outline the procedures for ensuring the safety and efficacy of a pharmaceutical item over its product development lifecycle.

Ensures record traceability

GXP sets guidelines on record-keeping and maintenance. This ensures documentation is available throughout every stage of the production process, from product pre-production to release. A good way to maintain traceable records is through a traceability matrix. This provides a visual way of showing how each process is interlinked with one another. This helps HR and auditors alike review the production process and determine what went wrong in the event of a recall, defect, etc.

Ensures employee accountability

GXP also establishes standards for employee ethics and accountability. The roles and contributions of each staff member are carefully documented. Auditors reviewing the records should be able to identify the role and responsibilities of individual employees. Records need to be specific and should include a log of when the person worked, what this contributor did, and duties during stages X, Y, and Z.

Elearning as a solution for GXP compliance

How does e-learning fit into this? GXP compliance is the responsibility of every member of the workforce. It’s not solely the responsibility of HR and higher-ups. Misconduct or failure of a single member to follow the rules can impact the entire company. However, this can be mitigated if you demonstrate a good-faith effort to train employees on industry-specific guidelines.

Consider these advantages of learning management system (LMS) adoption for GXP training.

1. Automated data traceability and security

Modern e-learning solutions include built-in features like automatic data-saving, data backup, and data mapping capabilities. The data sits in the cloud, and the LMS vendor employs the latest encryption and security protocols in line with GXP mandates. The LMS, in effect, handles the data traceability and accountability aspect, eliminating the guesswork on the user’s end.

2. Maintain FDA and EMS compliance

Strict environmental measures must be in effect when handling medicine, medical devices, etc. The Food and Drug Administration (FDA) and Environmental Monitoring System (EMS) contain regulatory oversight regarding environmental parameters, such as room temperature, pressure, and particle counts. LMSs utilize pre-made course templates with the latest FDA and EMS information available.

3. Create certified courses through diverse media

Pertinent GXP information, such as FDA CFR Part 11 regarding electronic records and signatures, can be found on the FDA official site. However, it’s inadequate to point employees to the link and expect them to read the lengthy manuscript and become experts. LMSs ensure information retention and the ability to employ the knowledge in a real-world setting. This is done through learning modules that incorporate diverse learning strategies that utilize:

 • Courses broken down into short digestible nodes
 • Visual and interactive media
 • Gamification (scoreboards, digital trophies, and other competitive elements)
 • Live webinars and remote classrooms
 • Instant collaboration via live chats, comments, and conference calls
 • Full archive and retrieval of past modules and webinars

Simplify pharmaceutical manufacturing with GXP Training

GXP violations can lead to heavy fines, not to mention they can lead to more audits and damage your hard-built reputation. This is why GXP training is so essential in an industry steeped in regulatory oversight.

At GXP Training, we’ve harnessed the expertise of top-quality assurance professionals to curate an online catalog of certified regulatory trainings, meticulously designed for the exacting standards of highly regulated industries. It’s too much! In 2020, the median number of days absent from work after an accident or non-fatal illness in the manufacturing industry was 11 days, according to a Statista study conducted in the USA. Manufacturing is an industry that requires constant physical labor and handling of potentially hazardous equipment. With the inherent risk comes the need for standardized procedures to minimize the odds of bodily injury. With the differing regulatory bodies and constant updates, it’s no understatement to say it’s a major challenge for manufacturing companies to faithfully stay in compliance. Elearning is one tool that provides an anytime-anywhere solution. Learn how to leverage the emerging popularity of learning management systems (LMS) to get your staff on board with safety and compliance.

Why safety and compliance matter in manufacturing

Depending on the industry, manufacturers work with varying heavy machinery, chemicals, liquids, etc. These pose the risk of injury or illness if safety precautions aren’t met. According to the U.S. Bureau of Labor Statistics, there were a reported 846,700 workplace injuries in the manufacturing industry in 2019 alone. This is a staggering 6.6 cases of bodily injury for every 100 employees.

For the employees, this leads to loss of wages, compiled medical expenses, and loss of quality of life. Immediate family members are affected as well.

The challenges in following safety and compliance guidelines

There are varying regulatory bodies outlining safety procedures in the manufacturing sector. It can be difficult for companies to navigate the often-overlapping guidelines put forth by these institutions. Some of the more established regulatory bodies in manufacturing include but aren’t limited to:

 • Occupational Safety and Health Administration (OSHA)
 • Environmental Protection Agency (EPA)
 • Food and Drug Administration (FDA)
 • Consumer Product Safety Commission (CPSC)
 • Office for Product Safety and Standards (OPSS)
 • The Management of Health and Safety at Work Regulations

These standards cover manufacturing industries in the UK, U.S., and European nations. Companies may also have their own internal guidelines.

The challenge lies in determining which regulatory bodies apply to your company and reviewing their lengthy manuscripts. Some of the language can also be vague, and regulations are subject to frequent updates. It’s not effective practice to give your employees the link to the official compliance sites and expect them to navigate the complex and dry reading, and expect them to comprehend the information in one go fully.

How eLearning assists in safety and compliance training

Elearning provides a fully remote environment and may be combined with traditional in-classroom learning. Consider these best practices and the “how” and “why” of manufacturing workforce training.

1. Provides Diverse Media

Some safety practices aren’t easy to convey in words. This is particularly the case with respect to the handling of machinery, assembly line practices, etc. Practices explained in overly formal and dry language – as is often found in official regulatory sites – don’t make the information easy to implement, either. Elearning makes it easy to take the content from regulation sites and convert the information into more engaging formats. This includes less formal wording, images, videos, and infographics.

2. Divide the course into small, digestible content

With e-learning, courses can be broken down into manageable chunks. Employees can complete short sections during small pockets of time, such as during breaks, before bed, etc. This is especially important in the manufacturing sector where employees are often subject to quotas, tight production deadlines, and stringent shipping schedules. Quick and easy save features allow users to save anytime anywhere and pick up right where they left off.

3. Real-time learning and implementation insights

Safety and compliance measures change often to reflect current trends. Update courses right as the regulatory changes go into effect. Furthermore, instant analytics provide data that yield correlations between remote learning and workplace safety. Since implementing eLearning, has workplace injuries, sickness, or hospital visits gone down in your warehouse?

4. Emphasize the statistics

It’s ok to reveal the gritty statistics and facts. Reveal startling numbers, such as 73% of workplace injuries in the UK were long-term, or lasting 12 months or longer. If you have the information, include the facts and figures regarding industry-related mental stress and even fatalities. The purpose of revealing the statistics is to drive the point home why safety and compliance are so important. It may be an effective practice to include this information in the intro section of the eLearning course.

5. Highlight common violations

Violations vary between manufacturing sectors. Some of the common violations include:

 • Machine guarding – not installing safety shields on equipment with exposed hazardous parts
 • Failure to enforce machine lockouts/tag-outs
 • Exceed weight capacity limits for ladders and scaffolding

By highlighting prevailing violations, employees know the areas that warrant extra attention when it comes to on-the-ground operations.

Dokeos LMS provides a turnkey solution

No measures can guarantee a 100% accident-free environment, especially not in the manufacturing sector where heavy machinery, conveyors, and sharp instruments are a normal part of the workplace. However, Dokeos LMS efficiently creates a remote learning setting. Impart the latest safety standards using diverse media and intuitive learning tools. Many HR teams have already adopted our LMS to improve lean manufacturing practices. Read more about the Mecaplast case, Lean Manufacturing and e-learning in our study.
